** 11 Month Temporary Assignment* *Our client a pharmaceutical agency, leader in medical research are seeking an Administrative Coordinator preferably with a similar exposure to the same industry or experience within a large/blue-chip organisation to provide support to one of their departments. Hours: Mon-Thurs: 8.30-5.30 Fri: 8.30-3.00 Salary: Up to £12.50 p/h Benefits: 25 days holiday + 8 bank holidays (pro rata) Responsibilities and Duties: –Deals with incoming phone calls and e-mails; provides service and handles complaints –Manages calendars –Coordinates meetings; arranges travel, meeting arrangements, visitor accommodations –Organises meeting rooms, including logistics, catering and equipment needs –Prepares agendas, takes and completes committee meeting minutes; coordinates distribution and follows up on action items –Maintains distribution and personnel lists –Coordinates mailings and courier/deliveries –Manages department operations: filing, develops databases, tracks budgets, ensures stationary orders, etc. –Coordinates invoicing and payments or preparation and distribution of promotional material –Participates in department project teams Minimum Requirements •Educated to A’ Level •Minimum 3 to 5 years experience in administrative support role •Experience using MS Office tools Competencies •Communicates details clearly and accurately; both orally and in writing •Identifies and balances multiple priorities •Proactive •Service-orientated •Willingness to learn new approaches and to adapt to change •Leads by example in promoting teamwork •Applies attention to detail
