Description: Is responsible for -Developing a broad understanding of our clients, the work they do and the environment in which they operate. -Making a contribution to the proactive management of client relationships by making yourself aware of what our clients need and want from us. -Contributing to the development of new business by looking for new opportunities in existing client relationships. -Working with Client Director on business development activities for your clients and attending client meetings as required. -Ensuring that our clients perceive staff as helpful, responsive, highly professional and a pleasure to do business with. -On a regular basis, working with Client Directors on Client Development Plans to ensure each plan is a powerful and effective tool in the systematic development of the client relationship. -Liaising with clients to ensure that all pre and post-course administration is carried out to department guidelines and client specifications. This includes arranging; training dates and meetings, course timings, venues and equipment hire, travel, overnight accommodation, pre-course instructions for delegates, course documentation and materials, post-course evaluation and follow-up with client/trainer, as appropriate. -Preparing, typing and checking all proposals, letters, memos, faxes, emails, reports and documentation for the courses/meetings you are responsible for in conjunction with the appropriate client director, client manager and trainer, and ensuring all documents are produced in line with company Style Guide. -Liaising with the trainer/s to ensure correct instructions are followed through for the training events. -Updating the database on every step of development that takes place for each of your clients and copying to the appropriate Client Director and ensuring in-company checklist forms are used and the system is kept up to date. -In conjunction with the appropriate Client Directors ensuring that every quarter the in-company training files are checked thoroughly and any unwanted paperwork is cleared. Transfer to the archive cabinet any files or papers from files, as appropriate. -Ensuring trainer receives all relevant documentation/training materials at the venue within the time specified. -Ensuring all pre-training questionnaires are sent to clients, completed by delegates and returned to the trainer prior to the training. -Ensuring any relevant course joining instructions are produced to trainer specifications and sent to the client for distribution to the delegates before the training course. -Ensuring you receive post-training course assessment forms from the trainer as soon as reasonably possible, and in conjunction with Office Services team, compiling summary assessment using template and sending to the client (if appropriate) and client manager within one week of the event taking place. -Working with Business Development and Marketing to review any suitable quotes for marketing literature, proposing new and innovative material for monthly IGM meetings, ensuring correct invoicing information is supplied to finance team in good time. PA Duties (small part of the role will include PA support for a nominated Director) Key tasks -Provide PA and secretarial support to the Director as required. -Oversee and allocate dates in conjunction with the Director for delivery of training and consultancy work to ensure the most effective use of the Director's time. -Once dates are confirmed, liaise with Client Account Executives and Business Development to ensure all necessary papers and client packs are collated and given to Directors in advance of each meeting. -As necessary, arrange internal meetings on behalf of the Director (eg key contacts, line reports etc) and collate necessary papers for each meeting. -Arrange meetings, prepare reports, prompt director in making calls/arranging meetings and maintain task list for director. -Provide ad hoc support to include: chasing expense submission, updating database, internet research, as appropriate. Other -Providing cover within the in-company team for holidays, sickness and workload. -Discussing any suggestions you may have for improvements to the systems with your line manager. -Attending meetings and seminars as required and assist with preparing agendas/taking minutes, as may be required. -Handling any complaints courteously and clearly and report to your line manager/director (as necessary) as a matter of urgency. -Establishing good working relationships with all directors, staff, consultants, trainers and clients (as appropriate). Note: The nature of this position is one of continuous development and the duties and responsibilities outlined above may change from time to time to reflect the changing needs of the organisation and changes in the marking.
